This policy describes how VendiVoce ("we", "the Service") processes users' personal data, pursuant to EU Regulation 2016/679 ("GDPR"). VendiVoce is a marketplace for car and motorcycle listings accessible at vendivoce.it, where a listing can be generated automatically from a video walk-around narrated by the seller.
1. Who is the data controller
The Data Controller is Heterna Company Ltd. Registered office: Unit 1601-2, 16/F, Prosperity Millenia Plaza, 663 King's Road, North Point, Hong Kong. Business Registration Number: 78167200.

2. What data we process
- Account data: email address, password (stored in encrypted form), name, phone number, preferred language; for dealers, also business identity (business name, VAT number, address).
- Your walk-around video: the footage of your vehicle and the audio narration in your own voice, plus the transcript and the listing draft (details, description, photos) our AI derives from them.
- Listing content: the published listing text, vehicle details and photos.
- Buyer contact requests: the name, email, phone number and message a buyer submits to contact a seller.
- Saved listings (favourites): stored locally in your browser; saving requires an account.
- Technical data: essential cookies, logs, and an anti-bot check (Cloudflare Turnstile) on contact forms.
Public visibility — two things to know before you publish: (1) your walk-around video is published together with your listing and can be viewed by anyone, and its audio contains your voice (the player starts muted, but sound can be turned on); (2) the contact details you attach to a listing are shown to interested buyers so they can reach you. Publish them only if you accept this.
3. Why we process it (purposes and legal bases)
- Creating and managing your account and listings — performance of the requested service (Art. 6(1)(b) GDPR).
- Generating your listing from the video: transcription of your narration, extraction of vehicle details and photos, drafting and translating the description — performance of the service (Art. 6(1)(b)).
- Publishing your listing, its gallery and its walk-around video — performance of the service (Art. 6(1)(b)).
- Verifying listings before publication (automated audit against the video, human moderation) and preventing fraud and abuse — legitimate interest in a trustworthy marketplace (Art. 6(1)(f)).
- Forwarding buyer contact requests to the seller — performance of the service (Art. 6(1)(b)).
- Service emails (verification, listing status) — performance of the service (Art. 6(1)(b)).
- Site usage statistics — legitimate interest (Art. 6(1)(f)).
- Newsletter to registered dealers — consent (Art. 6(1)(a)).
Automated listing generation is a drafting aid, not an automated decision with legal effect: you review and can correct the draft before submitting, and a rejected listing can always be contested by writing to us.
4. Who receives your data
Buyers and visitors see what you publish: the listing, its photos, its walk-around video, and the contact details you chose to attach. A seller receives the details a buyer submits to be contacted.
To provide the service we rely on external providers acting as data processors: hosting and infrastructure, database and authentication, file storage for photos, cloud storage and AI services for processing the walk-around video (transcription and listing generation), email delivery, customer-relationship management (CRM), and anti-bot protection. Each processes data only on our instructions.
We do not sell your personal data to third parties.
5. Transfers outside the EU
Some of our providers are located outside the EU/EEA. In such cases, transfers take place on the basis of appropriate safeguards (e.g. European Commission adequacy decisions or Standard Contractual Clauses).
6. How long we keep it
- Walk-around video: published with the listing and kept for as long as the listing is live; deleted when the listing leaves the platform (you delete it, or it is rejected or taken down).
- Videos that never lead to a published listing (abandoned or rejected submissions): deleted within about 30 days.
- Photos, listing text and details: kept while the listing exists; deleted when you remove the listing or your account.
- Buyer contact requests: kept while the listing they concern exists.
- Account data: kept until you close your account.
Data may be kept longer only where required by legal obligations or for the establishment, exercise or defence of legal claims.
7. Your rights
You have the right to: access your data, rectify it, erase it ("right to be forgotten"), restrict or object to its processing, and to data portability. Where processing is based on consent, you can withdraw it at any time.
To exercise these rights, write to privacy@vendivoce.it. You also have the right to lodge a complaint with your data protection supervisory authority (in Italy, the Garante per la protezione dei dati personali).
8. Other people's data
When you record your walk-around, mind what ends up in the frame and on the microphone: other people's faces, voices, conversations or personal details must not appear in your video without their consent. The same applies to any third-party data you put in a listing or a message.
9. Security
We adopt appropriate technical and organisational measures to protect your data (e.g. encrypted passwords, HTTPS connections, access controls on stored media).
10. Minors
The service is not intended for anyone under 18 years of age. We do not knowingly collect data from minors.
11. Changes to this policy
We may update this policy; the updated version will always be available on this page, with the relevant date. If a change materially affects how your data is used — as when walk-around videos became part of the public listing — we will highlight it.
